Operations Executive

Job Title: Operations Executive (two positions available)

Location: Ashford, Kent (Mersham le Hatch Business Village)

Salary Range: Dependent on experience


Based in our stunning offices in the Kent countryside, just outside Ashford, the Operations Executive will ensure the smooth and efficient running of The Recruitment Network club programme and enable us to achieve our strategic 2020 vision.

They will report into the Operations Manager.

Key responsibilities

Personal Support to the Directors

  • Provide Executive Assistant support to the Directors and colleagues as agreed 
  • Organise all travel arrangements and event coordination
  • Provide general admin support

Finance and Accounting

  • Preparation of Trend reports using Xero
  • Invoicing / debtor management system
  • Petty cash/expenses management
  • Preparation of invoices and financial reports for clients and service providers including liaison with service providers and preparation of monthly invoice and expenditure accounts (using Xero) and quarterly and annual reports

 Marketing, Business Development and Client Management

  • Assist with the management of contractual arrangements for client and partner organisations
  • Attend to clients where required
  • Interact with clients and candidates regarding enquiries of services, procedures and policies
  • Event coordination of Huddles, Retreats, lunches and workshops for clients and delegates
  • Coordinate company website(s), including updates (news) and content development (case studies etc.)
  • Coordinate and ensure value of company intranet

Service Partner Management

  • Liaise with printers, venues, and accommodation sites – organising preferred supplier arrangements
  • Monitor and negotiate costs of Service Providers to maximise profitability

General Administration

  • Setting up and managing online client surveys
  • Setting up online assessments and distributing results
  • Management of client focused online tools, websites and assessments
  • Report and data generation
  • Assist with the preparation and printing / binding of Training Manuals, including pre and post program correspondence
  • Assist with general office duties as requested
  • Prepare documentation and correspondence
  • Maintain delegate and client database
  • Point of contact for internal enquiries on policies, procedures and documentation
  • Involvement in recruitment process of new staff, including screening of candidates, candidate enquiries, coordinate interviews
  • Train new starters in the policy and procedures as well as preparation of any future training
  • Coordinate all admin workload throughout office
  • Assess and identify training and development needs for all staff of the business

Quality Assurance

  • Develop and manage QA system
  • Develop and manage Customer feedback system
  • Proofread majority of documents for consistency and accuracy before leaving office
  • Identify and implement process changes to make improvements to the Company
  • Ensure that company service standards are adhered to at all times
  • Ensure full compliance with all legal and regulatory requirements are met

Skills, Knowledge and Attitude

Knowledge of:

  • Microsoft Office and Outlook (essential)
  • Basic html (desirable, not essential)
  • Xero accounting software (desirable, not essential)
